An analysis by the FSA-RMR office of current processes and associated document life cycles will assist departments in implementing improvements to their work processes along with improved records management..
In December, the FSA-RMR office will be implementing a subscription service that compiles federal document retention schedules. This will alleviate considerable time spent having to research federal agencies which have their own retention schedules and no central repository. Departments can request through FSA-RMR office federal retention schedules and save the time researching the schedules on their own.
The FSA-RMR office is the official records liaison with the State of New Mexico Records Center and Archives (NMSRCA). This role will coordinate all document destruction and disposition transactions with the NMSRCA and ensure that the university remains in compliance with New Mexico Administrative Codes (NMAC’s). The office will manage and enforce destruction of paper records as they are imaged or met their retention schedules and electronic records that have met their retention schedules.
The FSA-RMR office serves as a central point of contact for issues and questions regarding RMR. Questions on records series, retention schedules, NMACS, Disposition and destruction of documents can now be handled by a central office. The office can then contact NMSRCA for answers if need be.
The FSA-RMR office has developed a process to periodically review the NMAC’s to ensure that any changes which may affect the university are identified, processes and/or policies are updated and any changes implemented. This will lead to a higher level of service for the NMSU community and reduce risk to the university.
The FSA-RMR office has implemented ‘GOTO Meeting’ web conferencing. Initially acquired to communicate on RMR project development with the community colleges, it will also be used by the Controller to facilitate AMC meetings with main campus and the community colleges. Other departments in BFHR will be investigating it use. The web conferencing application will be managed by the FSA office.
The FSA-RMR Office is currently discussing with the NMSRCA to implement a process for the destruction of NMSU confidential documents at a reduced cost to the university by using a NMSRCA vendor. A central storage area for confidential documents would be setup and departments would send the documents there for preparation for pickup by the state approved vendor. Departments can still contact vendors on the destruction of non-confidential record once approval for destruction is obtained from the state.
The FSA-RMR office is currently offering training to the NMSU community on RMR. The initial training session saw an attendance of 86 individuals from throughout the campus and community colleges. More sessions are planned as is onsite training for the community colleges.
FSA-RMR has implemented a web site that discusses the benefits of RMR, Disposition of Records, FAQ’s, our services, schedule of community training and provides links to NMSRCA NMAC’s. This web site will educate the community on RMR and facilitate the disposition and destruction process.
The FSA-RMR continues to manage and administer the Banner BDMS (Xtender) application and servers. The goal of this service it to administer the upgrades of software and hardware to ensure that the BDMS applications are up to date and that the users have access to the system. In 2009, 4 upgrades were performed on the development and production systems with little or no down time to the user community. The office also tracks BDMS software licenses to ensure compliance with SunGradHE terms of service.
The FSA-RMR office continues to explore, investigate and implement new hardware and software that will enhance BDMS and RMR. The office is currently reviewing the next generation in BDMS scanning software to ensure its deployment will be seamless in the current BDMS environment.
