Use The Intramural Facility For Clubs & Events
A. GENERAL PROCEDURES

A properly completed Facility Request Form for all events should be submitted to the Intramural Recreational Sports Office a minimum of four weeks prior to the event. All requests will be evaluated according to use priorities and on the basis of first come, first served. Requests will not be considered for more than one year in advance.

Since it is impossible to approve all requests due to a shortage of time and space, events must not be advertised prior to receiving final approval. If the request is approved, the Organization Representative should present the yellow copy of the Facility Request Form for admission to the activity area.

Groups using the facilities must comply with the PE Complex Regulations. Failure to follow regulations will result in curtailment of future use.

All groups using the Activity Center during open recreation hours are subject to supervision from Intramural Recreational Sports personnel.

No club or recreational group activity requests will be granted a maximum of two hours per session, twice weekly.

Children (17 and under) must be accompanied by an adult at all time while in the PE Complex facilities.

All problems related to facility use should be discussed with the Facility Coordinator, Phone: 646-4059 or Office: Room 230 Activity Center.
B. RECOGNIZED STUDENT ORGANIZATIONS (NMSU participants only)

Submit to the Intramural Office a list of club members' names and addresses, indicating those not affiliated with NMSU. At least one-half of the club membership must be affiliated with NMSU.

Non-affiliated members must sign a Release of Liability in order to protect NMSU from any damaged incurred. Participants under 18 years of age must have a parent-signed liability waiver.

Non-affiliated members will receive a card for admission to the PE Complex facility during the scheduled club hours.
C. RECOGNIZED STUDENT ORGANIZATIONS AND OTHER STUDENT/FACULTY GROUPS (NMSU participants and outsiders)

Submit facility request form to Intramural Office.

Outsiders must complete a Release of Liability form.

Complete a Rental Contract if charging an entry fee.

After approval is granted, pick up yellow copy of request form.

Present yellow copy at time of activity.

Return completed Release of Liability forms to Intramural Office.
D. NON-UNIVERSITY ORGANIZATIONS

Submit facility request form to Intramural Office.

Submit written proof of Liability insurance to the Intramural Office prior to event.

Complete a Rental Contract; submit appropriate fee to Department of PERD, NMSU, Las Cruces, New Mexico 88003. Make check payable to NMSU.

All participants sign a Release of Liability. (Forms available in the Intramural Office)

After approval is granted, pick up yellow copy of request form to present at time of activity.

Return completed Release of Liability forms to Intramural Office.
E. ALL GROUPS (MISCELLANEOUS)

Groups requesting facility are responsible for the safety of the people participating in their activity.

Clubs or groups charging a fee for instruction; instructor must submit verification of liability insurance and release of liability from participants.
